JOB DESCRIPTION

The Role and Responsibilities

We are looking for a part time Functions Coordinator to work 20-25 hours per week and be responsible for the end-to-end coordination of the Club’s private events in the exclusive function rooms.   At least three days in the office however the number of days and hours can be negotiated for the right candidate.  You will administer the Club’s private events which include conferences, cocktail parties, meetings, and weddings. A Monday to Friday role you may on occasion be required to meet and greet outside business hours i.e. weddings and large evening functions.

Dealing only with members, their partners or corporate offices, you will respond to queries that come in via email, telephone or in person. You will conduct tours of the Clubhouse, highlighting the Club’s versatility and high standards of service. You will prepare marketing material and liaise with members to determine their function needs, sharing your expert knowledge and advice to create a truly memorable experience. Creating bespoke functions and events within the Club guidelines and protocols is a specialty. Preparing quotes, event orders and timely and accurate invoices, ensuring the Club’s policies and booking terms and conditions are followed will form part of your daily routine.

Dealing with external suppliers such as florists and entertainers, ensuring that every detail is passed on to the Banquet Operations team for excellent delivery of service and execution of the function. 

Reporting to the Events Manager you will assist with the coordination of major Club events, printing menus, name tags and table lists as well as meet and greets at the start of each event.

This role would suit someone with solid hotel or premium private club experience who is looking to re-enter the work force on a part time basis or someone who has spent considerable time in an operational role, has a great understanding of functions and events and is looking for a pathway to event management.   This role offers wonderful work life balance.

Please note: You should have a minimum 2 years previous experience in the above or similar roles.


REQUIREMENTS

The successful candidate will:

  • Have strong computer skills including MS Office suite of products; knowledge of Northstar an advantage
  • Be able to communicate clearly and professionally, both orally and in written form
  • Have at least 5 years previous experience working in an events or functions environment whether that be on the floor or in the office
  • Be enthusiastic and demonstrate great initiative
  • Manage and resolve difficult situations and member feedback
  • Have excellent customer service skills with the ability to engage and build rapport, developing strong professional relationships with members,
  • Great attention to detail
  • A willingness to go above and beyond with an eagerness to support the team in every way you can
  • Have a strong positive work ethic and have some flexibility with hours,
  • Have a passion for quality food, beverage and service excellence.
