JOB DESCRIPTION

The Island Gold Coast, boutique hotel located in the heart of Surfers Paradise on the sunny Gold Coast is looking for a full time motivated, experienced, and engaging Wedding and Events Coordinator to join our team. 

The Island is part of the Katarzyna Group – a family-owned hospitality group based in South East Queensland. Our venues include Cloudland, Valley Hops Brewing, The Warehouse, Press Club, Empire, Birdees, Bunk Backpackers, the Island Gold Coast and Bunk Surfers.

The key focus will be the operational execution of Weddings inclusive of the one on one wedding planning process with clients, through to the set-up & coordination of the day’s proceedings.

As the Wedding Coordinator, you shall work closely with the Group Wedding Sales Manager to fulfil the following tasks independently, and with autonomy. 

Weddings:

  • Confidently execute planning appointments with couples in a face to face fashion, understanding that some after hours and weekend appointments shall be required in order to best suit couples time frames & requirements. 
  • Convert planning details into run sheets via EventPro event management system, inclusive of preparing back of house costings, order of service details, catering & beverage information, alongside administrative and logistical details in relation to all wedding details.
  • Provide dedicated administrative support to couples from the time of hand-over, until and inclusive of the day of the wedding to ensure the smooth & seamless coordination of all wedding planning requirements
  • Manage all Wedding related operational tasks with support  of function manager in all coordination aspects inclusive of liaising with all internal and external suppliers for logistical requirements.  This includes stylists, florists, in-house AV management, external hire & entertainment, cake suppliers etc. 
  • Assist Group Wedding Sales Manager with conversions of wedding sales by hosting site visits with clients, showcasing the venue and wedding spaces both during the week and on wedding days 
  • Assist Group Wedding Sales Manager with provision of proposals for clients for new enquiry 
  • Capacity to work a flexible roster with flexibility required for after office hours for industry events, exhibitions, site visits & planning appointments. 
  • Flexibility required to work Sunday’s / Monday when wedding bookings demand. Flexibility shall be provided in return to swap days as necessary. 
  • Meet targets within wedding sales team to assist with maximising revenue on a per wedding basis.

A little of what you will be doing:

  • Co-ordinate weddings daily, as required - you will be the main point of contact for all operational on the day coordination.  
  • Planning weddings daily – you will be the couples go to for all elements related to the wedding planning experience following confirmation of booking.
  • Host wedding menu tastings to meet with couples and assist wedding coordinator on the night in networking with couples. 
  • Liaise with suppliers for bump-in and out on the day of wedding 
  • Communication with MC, front of house team & kitchen on the night of wedding / event to execute a smooth & seamless order of service. 
  • All administrative duties for Runsheet preparation.
  • Attendance of planning appointments with couples as required for on the day coordination handover.  
  • Client liaison and site inspections working within the sales team as required 
  • On the day of the wedding setting up of the finishing touches; set-up of client items as required
  • Set-Up, Pack-Down, supervision of weddings & events from breakfast, conferences, ceremonies & social events, as required.

What you need to bring:

  • The pure love for everything related to weddings & events 
  • Exceptional communication and customer service skills
  • Professionalism in all dealings with clients
  • Excellent writing skills and knowledge of Microsoft Office including being proficient in excel and working with spreadsheets. 
  • Experience in EventPro encouraged, but not required
  • Highly organised and motivated
  • Accurate time management skills
  • High attention to detail

  • Outstanding personality
  • You must be able to work autonomously as well as being a team player
  • Food and beverage experience advantageous
  • RSA is required

Please note: You should have a minimum 2 years previous experience in the above or similar roles.


REQUIREMENTS

Key Requirements:

  • 2 + years’ experience working in the wedding and events industry
  • Weekend availability is a must
  • Driver’s License and access to your own car

This is a full-time role where Saturday work is essential and occasional Sunday work due to wedding scheduling. Full details about the position will be discussed at interview only.
